Role purpose
To deal with all aspects of residential rental activities within the Urban Splash family of companies. This includes setting up debtors accounts from leases, cash allocation, ensuring tenants accounts are accurate and up to date, dealing with tenant and landlord queries, and ensuring the smooth running of residential accounts.
Key responsibilities
The accountabilities of this role can be split into managing cash, managing debtor accounts and a few additional responsibilities.
The detail to manage cash is:
| — | Post all cash transaction for various companies, using Sage and Bluebox, which includes the below. |
| — | Post bank transactions to tenant and supplier accounts to ensure that they are accurate and up to date for accounting purposes and to assist credit control. |
| — | Produce daily and weekly bank reconciliations to prevent any mistakes from having an effect on the accounts. |
| — | Prepare cash flows to show income and expenditure on a weekly basis. |
| — | Set up beneficiaries and payments in the bank, for refunds requested from the residential team, to ensure good customer service is adhered to. |
| — | Pay ad hoc forms that have been requested and approved to enable works to be carried out and to ensure good relationships with suppliers are maintained. |
| — | Set up Inter company transfers in the bank to ensure receipts from Worldpay and charges to management are in the correct company accounts. |
| — | Pay rental deposits to Deposit Protection Scheme to ensure all relevant laws are adhered to. |
| — | Pay monthly payments to landlords (ensuring all costs occurred in the month are recharged) to meet the requirements of agreed contracts. |
| — | Pay quarterly distribution payments to investors ensuring we adhere to contractual agreements. |
The detail to managing debtors accounts is:
| — | Create debtor accounts upon move in to ensure a smooth process for tenants and the residential team |
| — | Raise monthly rental invoices to allow all direct debits to collect successfully. |
| — | Set up direct debits with the bank to ensure the agreed process with tenants is followed. |
| — | Collect monthly direct debits to aid credit control and make paying stress free for tenants. |
| — | Close tenant accounts once they have moved out to allow refunds to be processed and allow the procedure to complete. |
| — | Deal with tenant queries to allow their experience to be as stress free as possible. |
Additional responsibilities include:
| — | Assist the purchase ledger clerk including monthly bank checks of the payment run to ensure the correct supplier accounts are paid into, this helps to prevent any loss of cash and keeps a good relationship with suppliers. |
| — | Answer the phones and assess how to help the customer or who to transfer them to. |
Qualifications and experience
| — | AAT (level 2) |
| — | GCSE Maths and English (good pass) |
| — | 1 year experience in a similar role |
| — | Bank reconciliations experience |
| — | Microsoft office (including Excel) experience |
| — | Good communication skills (both verbal and written); organisational skills; excited to learn; able to work with minimal supervision; numeracy skills; customer service; able to use initiative. |
| — | Experience working for a property organisation desirable |
| — | BlueBox, CFP, Sage 2000 experience desirable. |
